Privacy Policy

EduVerse Education provides tutoring and exam preparation to students in Victoria. This policy explains what personal information we collect, why we collect it, who we share it with, and what you can do about it. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
Most of the people we deal with are parents enrolling a child, so much of what follows is about information a parent gives us about their child. That information gets the same protection as everything else here, and the section on children's information sets out the extra care we take with it.
What we collect
When you enquire, book or enrol. Your name, email address and phone number. About your child: their first name, the year level they are in, and sometimes the school they are aiming for. If you enrol, we also collect the subjects you choose, the class days you pick, and an email address for your child so we can create their learning portal login.
When you use our website. Your IP address, browser and device details, the pages you visit, and which steps of a form you complete or abandon. If you arrived from an advertisement we also record the campaign, ad set and ad that brought you, along with the click identifier the ad platform adds to the link.
When your child uses the learning portal. Their name, login email and student code, the classes they are enrolled in, their answers to tests, quizzes and exams, their marks and progress over time, attendance, and messages they send in the portal chat.
When you pay. Records of invoices and payments. We do not see or store your full card number. Card payments are handled by our payment provider.
Why we collect it
To teach your child and run the classes they are enrolled in. To create and support their portal account, mark their work and report their progress to you. To schedule webinars, consultations and calls. To send you information about the programs you have asked about or enrolled in. To bill you and keep proper financial records. To understand which of our advertisements actually lead to enrolments, so we are not spending on ads that do not work. And to keep the site secure and working.
Children's information
We deliberately collect as little about a child as we can while still teaching them. We ask a parent or guardian for the child's details, not the child. We do not advertise to children, we do not build advertising profiles of them, and a child's information is never part of what we send to Meta.
A parent or guardian can ask to see everything we hold about their child, ask us to correct it, or ask us to delete the account, using the contact details below.
How we keep it safe
Our database refuses direct access by default. Every read and write goes through a controlled, permission-checked path, and the keys that grant access are held on our servers, never in your browser. Traffic is encrypted in transit. Access to student records is limited to the staff who need it, and our admin tools sit behind a separate login.
No system is perfect. If a data breach happens that is likely to cause you serious harm, we will tell you and the Office of the Australian Information Commissioner, as the Notifiable Data Breaches scheme requires.
How long we keep it
We keep student and enrolment records for as long as the student is with us and afterwards for as long as we need them, including to meet our tax and financial record keeping obligations, which generally means five years. Enquiries that never became enrolments are kept while they are still a live prospect and then removed. When we no longer need personal information, we delete it or de-identify it.
Marketing and how to stop it
If you give us your details we may send you information about our programs. Every marketing email has an unsubscribe link, and we act on it. You can also reply to any email or use the contact details below and ask us to stop. Emails that are part of a service you are using, such as a booking confirmation, a class reminder or a results notification, are not marketing and will continue while your child is enrolled.
Getting access, or correcting something
You can ask us for a copy of the personal information we hold about you or your child, and you can ask us to correct anything that is wrong. Email us and we will respond within a reasonable time, normally 30 days. There is no charge for asking. If we cannot give you access we will tell you why in writing.
If you want to complain
Email us at hello@eduverseeducation.com.au with the details. We will acknowledge your complaint and aim to resolve it within 30 days.
If you are not satisfied with how we handle it, you can take the complaint to the Office of the Australian Information Commissioner at oaic.gov.au, or by calling 1300 363 992.
Changes to this policy
We update this page when what we do changes. The date at the top tells you when it last changed. If we make a change that materially affects how we handle information we already hold about you, we will tell you directly.
